September 22, 2004 Parent Board Meeting
No minutes were taken. Sara Payne, Eric Botts,
Barbara O'Neill, Joe Mineart and Sharon Hoffbeck in attendance. (Short meeting in
preparation for Parent Informational Meeting.)
Minutes of the
August 18, 2004 Parent Board Meeting
The meeting began at 6:50 pm in the YMCA Senior Center
with Sara Payne, Eric Botts, Barbara O’Neill, Joe Mineart and Sharon Hoffbeck
in attendance. We approved the
minutes and treasurer’s report.
Old Business:
1)
We read a letter from the Colley family thanking us for paying the fees
for National competition. Discussion
followed regarding keeping a coach on staff for practice prior to National
competition and keeping younger swimmers active during that same time frame.
2)
Reviewed coaches and program evaluations from banquet.
3)
Authorized reimbursement to Sara Payne for banquet expenses of $73.
4)
Despite initial problems at first due to number of kids and varying
degrees of ability, the summer swim program went well.
5)
Discussed reduced fees for first time swim team members after Jan. 1. Decided that effective this year, first
time swim team members that join after Jan. 1 would pay half the membership fee. This will be added to the Dolphin
Handbook.
New Business:
1)
District Meeting summary: 2005
Area Championship’ (State) date and location are set. For2006, only the date has been set.
2)
Fall season is set. Practice
times and holiday practice schedule has also been set. Check the website calendar. Waterbug Relays at Warren Co. will be
held at Monmouth College.
3)
Price for fall season will stay the same as last year.
4)
Hired Michael Adams as coach. Discussed
coaches’ pay.
5)
Sara Payne and one coach to be determined will attend Sept. District Mtg.
6)
Coaches training: see
website info.
7)
Officials training: 5
officials qualified at present time. Qualification
is good for three years. We would
like to hold officials training/meeting in Macomb. Surrounding areas would be interested in
attending.
8)
Purchase 3 NCAA Rules Books each year to keep for reference.
9)
Marketing
a)
Flyers for Swim Team: Sharon
will contact surrounding schools to determine number of flyers needed. Sara will print flyers. Sharon to distribute to schools.
b)
Bulletin Board: Sharon will
update bulletin board soon.
c)
Joe has two newspaper articles ready to submit for publication with
pictures.
d)
Sara is mailing applications to potential new members and those members
without e-mail. Applications are
available at YMCA front desk.
e)
Fundraising: Establish
Committee
i)
Discussed possible sale of window decals.
Find out cost at Quickprinters for quantity pricing.
ii)
Discussed sale of website ads.
10)
Organization/Reassignment of Board duties
a)
Parent Box will be located at front desk for ease of accessibility.
b)
Lori Botts take care of ordering team suits during first week of
practice. She will also take
care of ordering apparel for invite.
c)
Ribbons and trophies – Kathy Booker. Evaluate ribbon usage and consider downsizing.
d)
Computer entry prior to meets – Barbara O’Neill. Deadline for coaches will be Tuesday for
away meets.
e)
Computer entry after meets for press release, results, etc. – Sara
Payne and Barbara O’Neill to get to Gina Colley for publication.
f)
Completion of entry forms for meets and invites. Bulletin board meet sign up deadline
Tuesday prior to meet – Sharon Hoffbeck
g)
Send out forms to visiting teams prior to home meets – Sharon Hoffbeck
h)
Invitational. Jan. 8, 2005
– Eric Botts
i)
Timing System/Computer/Stop Watches – Eric Botts will order or replace
batteries as needed.
j)
Pool equipment: flags will
be replaced with red, white and blue flags. We will be moving the touch pads to the gym closet near the
Dolphin storage closet.
k)
Team photo – Sharon Hoffbeck. Try to schedule for Nov. 9.
l)
Parent Handbook/Informational Meeting – September 29.
Next meeting scheduled for Sept. 22 at 6 pm in Senior
Center.
